What is the 2019 maintenance fee?

What is the deadline for paying the maintenance fee?

The annual maintenance fee is due on April 15 each year.

What is the late payment penalty for missing the maintenance fee deadline?

The 2019 maintenance fee is $425 paid by check or $440 paid online (includes convenience fee).  If you miss the April 15, 2019 deadline, you will be charged the following late fee in addition to the maintenance fee.  These late fees are not cumulative; pay the fee associated with the date you make your payment. For example, if you send in a check on June 15, the check should be written for $500 ($425 + $75 late fee); if you pay online on September 10, you will be charged $540 ($425 + $15 convenience fee + $100 late fee).  

  • Paid on or before April 15, 2019:  No late penalty

  • Paid April 16, 2019 - May 31, 2019:  $25 late fee

  • Paid June 1, 2019 - August 31, 2019:  $75 late fee

  • Paid September 1, 2019 - November 30, 2019:  $100 late fee

  • Paid on or after December 1, 2019:  $125 late fee


If you miss the April 15, 2019 deadline, please include the appropriate late fee when you do submit your payment.  The board and admin will be able to process your payment and get you access to the pool faster if you proactively pay your late fee.  Sending in just the maintenance fee past the April 15, 2019 deadline will then require the board to send you an invoice for the appropriate late fee and you will not be granted access to the pool until that late fee has been paid and processed.  

What are my options for maintenance fee payment?

You have two options for payment:  check or credit card.

To pay by check:

Make your check out to Greenbriar Pool Club in the amount of $425*.  Please include your member number on the memo line. Then mail your check to:

Please do not send your check using any method that requires a signature; no one is at the pool to sign for it and it will be returned.  (See the question regarding the pool’s address for more details.)

If you are using a bank’s bill pay service to send your check, please allow 1 week processing time.

What is the deadline for renting my membership?

The deadline for renting your membership is April 15, the same as the deadline for paying your maintenance fee.  The board may vote to extend that deadline.

For 2019, the rental deadline is June 15, 2019.

Please note:  

  • Rental applications will only be processed if the membership is in good standing, i.e. the current maintenance fee has been paid and there are no outstanding payments or late fees owed.

  • If you choose to rent your membership between April 16 and June 15, please let your renter know that access to the pool will not be granted until the rental application is processed, which can take several weeks.

  • Families can now rent a membership for up to 3 seasons.  You must reapply each year.

How do I know if the pool received my check?

Check your bank account.  If your check has cleared then you know we received your check.  Please note that it can take several weeks for the administrative assistant to process your check.  Please be patient; the board is aware that this is a slow process and we appreciate your understanding as we work to process 600 memberships leading up to opening weekend.

Please DO NOT send anything via FEDEX, UPS or USPS with tracking (they will not leave a package even if no signature is required).  There is no one at the pool during the off season to sign for it and front desk staff are not authorized to sign for letters or packages.

What is the pool’s mailing address?  What method should I use to mail a letter/package to the pool?

The pool has a physical mailbox located at the pool where all mail is received.  The address is:

Some older membership certificates and older versions of forms state an old PO Box address that is no longer in use.  Please DO NOT send anything to a PO Box address.

Does the pool maintain a list of interested buyers/renters?

The pool does not maintain a wait list.  Sales and rentals are private transactions.  See related questions for more information on selling or renting.

How do I find someone to rent/buy my membership?

There are lots of ways to advertise a membership for rent or sale.  Some include:

  • Advertising in the Greenbriar Flyer (E-mail greenbriarflyer@hotmail.com)

  • Join your Nextdoor Neighborhood Community (www.nextdoor.com)

  • Facebook and other social media sites

  • Ask your friends and neighbors - They just might know someone who is looking!

How do I rent/sell my membership?

What are the processing fees for renting/selling my membership?

The pool charges a $100 fee for processing a rental application.  Please see related questions for more information about renting your membership.

I lost my membership certificate; how do I get a new one?

Write a letter requesting a new certificate and include a check for $25.  Make the check out to Greenbriar Pool Club and mail the check and letter to 13001 Point Pleasant Drive, Fairfax, Va 22033.  Be sure to include your member number in the letter as well as any relevant updated contact information. Do not send your letter and check via any method that requires a signature; no one is at the pool to sign for it and it will be returned to you.  Please allow several weeks for processing. A new certificate will be mailed to you.

Do I still get 5 free guest passes each season?  How much does it cost to buy more guest passes? How do I buy additional guest passes?

Five (5) free guest passes are included in your membership each year.  Those guest passes are included in your membership regardless of which method you used to pay your maintenance fee.  They can be picked up at the front desk the first time you visit the pool for the season. We no longer require you to send a stamped, self-addressed envelope to get your free passes.

Additional guest passes are sold in bundles of 5 for $20.  They can be purchased at the front desk using a check or credit card.  If paying with a check, a member must write the check from their bank account; bounced checks from non-members has been an issue in the past.  Cash is not an acceptable form of payment.
