June Board Meeting Update

2020 Opening Plan

  • As we are currently still in Phase 1, we will NOT open on June 10, 2020.

  • The pool will NOT open during Phase 2.  The governor's office released Phase 2 guidelines last week and the Board unanimously voted that the restrictions on pools are too severe to try opening during this phase.  Our pool has 6 lanes so we'd have a maximum capacity of 18 people for lap swimming only.  The wings, wading pool and play structures would have to remain closed.  You can view the Phase 2 guidelines here; information regarding pools is on pages 23 and 24.

  • We will attempt to open the pool during Phase 3 if the Board feels it can safely do so.  Since the Phase 3 guidelines have not yet been released, the Board will make a final decision about opening in Phase 3 once that information is available.

  • At some point later in the season, it will financially not make sense to open the pool even if it is safe to do so.  The Board approved August 8, 2020 as the last possible day we would consider opening for the 2020 season.  If we cannot safely open by then, we will not open in 2020.

Maintenance Fees

  • Whether the pool is open or closed, there are still necessary expenses (about half the budget) that the pool incurs on a regular basis.  Much of this money is spent outside of the normal operating season.  Some of these fixed expenses include utilities, insurance, administrative expenses (we have one part-time employee; everyone else is a volunteer) and general maintenance of the building, main pool and wading pool, parking lots and grounds.  In addition, we are contractually obligated to pay the management company as it maintains the water quality and pool equipment in preparation for hopeful opening.  While the pool remains closed, we pay a reduced amount to the management company.

  • The Board has determined that a maximum refund of $225 per membership is possible if the pool is not able to open this season.

  • If it's possible to open sometime between June 20, 2020 and August 8, 2020, a prorated portion of the $225 will be refunded.

  • Member Splash is currently working on allowing members to put their refund towards their 2021 payment as a credit.  This is a new feature currently being built.  We hope that we can offer members a choice of what to do with their refund - keep it on their account to use next year or get it back in the form of original payment or a check from the pool.

Member Splash Accounts

  • Thank you to the many members who have already updated their Member Splash accounts.  Your efforts are appreciated as we make this much needed upgrade.

  • Before opening day (whenever that may be), you will need to add your family members to your account and upload a picture of each person Click the + sign next to members to add your family members, click the pencil icon to edit their contact information and click the camera icon to upload a picture.

  • We have noticed that many accounts have listed a family member as the emergency contact.  Please change this to someone who is not listed on your membership such as a friend or neighbor.  In the event of an emergency, the adult members on your account will be contacted first with the emergency contact as a last resort.

  • We have seen a few emails asking us to update one aspect or another of a Member Splash account.  In most cases, this is something you can do yourself; any section of the account with a pencil icon next to it is something you can edit.  We thank you for keeping your account information up to date.

May 9, 2020 Update

The Pool Board shared the following information with members via email on May 9, 2020. If you are not receiving email from the pool, you need to access your Member Splash account and add a current email address to the contact information listed for any adult member. For Member Splash assistance, please email help@greenbriar.org.

  • The Pool Board is waiting for the County Health Department to provide specific guidance for outdoor swimming pools.  To date, this guidance has not yet been provided and we do not know when the Health Department will provide this information.

  • The Pool Board unanimously agreed that the pool will not open until it can do so under normal or close to normal operations.  With the current guidance provided by Governor Northam, the Pool Board will not open the pool until Phase 3.  If/When the Health Department provides further guidance for swimming pools, the Board will reevaluate that decision based on the new information.

  • The current opening date is still set for June 10, 2020, but that will likely change.  Until the Health Department issues our 2020 permit, we can not provide a specific opening date at this time.

  • An updated late fee policy is posted on the FAQ page of the website.

  • The Pool Board is discussing a plan for partial maintenance fee refunds if the opening date falls after June 20, 2020.  We are currently working on a new budget that would reflect the worst case scenario of closing for the entire season.  We will compare the operational costs of that minimal budget to the budget published in the February 2020 newsletter and refunds will be calculated based on the difference.

  • Our swim team representatives announced on Thursday, May 7 that the Northern Virginia Swimming League (NVSL) decided to cancel the 2020 swim/dive season.

  • The Pool Board understands that no matter how we handle opening for the 2020 season, some faction of our members will be unhappy.  In circumstances like these, there is no avoiding it, but please know we are working to do what's best for the membership now and for future pool seasons.  Your thoughtful feedback is welcome, but please be respectful.

Updated Maintenance Fee Deadline/Late Fee Schedule for 2020

At this time, there are no changes to the last update about the operating status of the pool for the 2020 season.  We are currently still planning for a June 10 opening.  While the Board had previously extended the maintenance fee deadline until opening day, it was decided to extend it even further.

  • The 2020 maintenance fee deadline is extended until September 30, 2020.

  • Members must be in PAID status in order to use the pool facility - UNPAID members can choose to delay payment but they are also giving up use of the pool until their account is PAID.

  • Families with children participating in swim/dive must pay their maintenance fee before signing up for teams.

  • If a refund is given to members who paid $450, the UNPAID accounts must pay the reduced maintenance fee price by September 30, 2020 and will NOT be given a refund.

  • A single late fee of $50 will be applied to any UNPAID account on October 1, 2020 and the account will enter year 1 of arrears.  Article V Section 6 of the Bylaws addresses non-payment of maintenance fees.

Please keep in mind that the pool has fixed expenses so maintenance fee payments from all members is necessary to properly maintain the pool facility.  Please refer to Article VII of the Bylaws (Dues and Fees) for more information.
